Sales Agreement
Article 1: Parties
This agreement is made between the following parties under the terms set forth below:
- Seller: ARSTE (Address, Tax Number, Contact Information)
- Participant: [Participant’s Name/Company Name, Address, Contact Information]
Article 2: Subject
The subject of this agreement is the granting of participation rights to the participant for the [Conference Name] organized by ARSTE, either in-person or online, for the specified fee.
Article 3: Participation Fee and Payment
- The participation fee is collected based on the amount announced on the event website. Participants may pay the fee in Euro, equivalent USD, or Turkish Lira.
- Before payment, participants must log into the conference account, fill out the Payment Form, and receive a payment code.
- Bank deductions are the responsibility of the participant, and incomplete payments will not be processed.
- If the payment is not made in full, the participant's right to participate may be withheld or canceled.
- The participation fee includes VAT.
- The fee can be paid by bank transfer/eft, credit card, or other methods provided by the seller.
Article 4: Registration and Participation
- The participant is responsible for completing the event registration as per the instructions on the event website.
- The participant must check the participation details sent before the event and notify the seller of any discrepancies.
- The participation right is non-transferable and exclusive to the participant.
- The participant may choose to attend the event in-person or online. This should be specified during registration.
- For online participation, the necessary connection details will be sent prior to the event.
- Each registration fee covers one session, and additional sessions can be added for an extra fee.
Article 5: Cancellation and Refund
- If the participant notifies the seller of cancellation at least 150 days before the event, a refund will be made after deducting a €100 service fee.
- No refund will be issued for cancellations made 150 days or less before the event.
- If the seller cancels the event due to force majeure, the participant will receive a full refund.
Article 6: Seller’s Responsibilities
The seller is responsible for ensuring that the event takes place on the specified date, location, and conditions. If the event is postponed due to technical issues or force majeure, the seller will notify the participant of the new date and conditions.
Article 7: Participant’s Responsibilities
The participant is obliged to follow the rules set by the seller during the event. The participant is responsible for any damages caused by their actions during the event.

Article 9: Personal Data Protection
The participant agrees to the processing of their personal data during the event registration and participation process. This data will be used exclusively for the stated purposes.
Article 10: Dispute Resolution
Disputes arising from this agreement will first be attempted to be resolved through negotiation. If no resolution is found, the courts and enforcement offices in [Seller’s City] will be authorized.
Article 11: Effectiveness
This agreement becomes effective upon the electronic approval of both parties.

Article 2: Delivery Time
- For In-person Participants, materials will be delivered at the registration desk before the event begins.
- For Online Participants, necessary materials can be accessed via the conference accounts.
Article 3: Delivery Issues and Objections
Participants must notify the seller in writing within 5 working days if they face any issues or discrepancies with the delivery. The seller will assess the issues and offer an appropriate solution.
Article 4: Delivery Cancellation and Delay
In case of cancellation, materials delivered will not need to be returned. If there is a delivery delay, the seller will notify the participant of the new delivery timeline. However, the seller is not responsible for any financial loss resulting from the delay.
Privacy and Security Policy
Purpose
This policy ensures the confidentiality and security of participants' personal data during ARSTE events, defines data processing procedures transparently, and outlines necessary security measures.
Collected Information
- Name, surname, title, and contact details (email, phone, address)
- Additional information provided during the event (feedback, survey responses, content preferences)
Purpose of Personal Data Processing
- To manage event registration and participation processes
- To provide event-related information to participants
- To issue invoices and process payments
- To conduct post-event communication and satisfaction surveys
- To comply with legal obligations
Data Storage and Protection
Personal data is stored solely for the specified purposes and in accordance with relevant legal regulations. Necessary technical and administrative measures such as security software, encryption, and access control mechanisms are implemented to protect the data.
Security Breaches and Notifications
In case of a data breach, affected parties will be informed as soon as possible. Immediate measures will be taken to minimize the impact of the breach.
